Windows 11: Use notification assistant – TecChannel Workshop

Open Notification Assistant

To configure the feature, first go to the Windows settings. To do this, you can use the extended context menu that appears after right-clicking on the Start button. But it works faster by pressing the Windows key + i.

    First, call up the settings, for example by right-clicking on the start button.

    Then navigate to the “System” section on the left-hand side. Then switch to the right pane and click on “Notification Assistant”.

    The feature is turned off by default, so Windows displays all notifications from apps or contacts.

    If you choose “Priority only”, you can use the link in the information text to adjust the priority list.

    In the “Calls, SMS and reminders” section you can specify that you would like to be informed about incoming short messages.

    Under “Contacts” you can configure whether messages from certain contacts may be displayed.

    Finally, in the “Apps” section, you define which programs are allowed to display notifications. There are already several applications as default, such as the Snipping Tool.

    To add more programs to the list, click on the “Add app” button.

    However, the range of programs that can be added is limited. Microsoft’s exact criteria remain unclear.

    With the last option “Alerts only” you suppress all other notifications except alarms, for example from Microsoft Defender.

    If you activate this checkbox, Windows informs you in summary about missed notifications while the notification assistant was active.

    You can also use automatic rules. Among other things, this can be used to control the times at which the assistant should take action.

    After opening this rule, click the switch to enable it.

    Then you can enter the start and end time, limit the repetitions if necessary and set the notification priority.

You should then be in the System section. If not, use the left sidebar to navigate there. Then go to the right pane and click Notification Assistant.

In the following dialog you can select from different options using three radio buttons: Off (default), Only with priority and Only alarms. The feature is disabled by default, which means Windows will show any notifications from apps or contacts.

If you choose Priority only instead, only specific messages from the priority list will appear. To open it, follow the Customize Priority List link. After that, you will be taken to a page that allows you to set which notifications are allowed.

The associated dialog is divided into three sections. Calls, SMS and reminders are relevant, for example, if you want to stay up to date on incoming short messages or calls via chat app or messenger.

In the Contacts section, on the other hand, you configure whether messages from your contacts may be displayed. The contacts that you have pinned on the taskbar are preset here. However, the corresponding application, such as the mail or news app, must also support the function.

Finally, in the Apps section, you can define which programs are allowed to display notifications. By default, you’ll find several applications here, such as the Snipping Tool and Environment Sharing. You can add additional programs using the Add app button – but only from a limited selection. As with Windows 10, it remains unclear which criteria Microsoft uses here. Only two of the apps from the installed Microsoft Office package appeared on our test PC.

Finally, with the Only alarms option, you suppress all other notifications with the exception of alarms, for example from the integrated virus scanner. Directly below you also have the option of activating a checkbox to obtain summary information about missed messages while the assistant was active.

In addition, you can use automatic rules on the start page of the notification assistant. This way you can control when or which activities you do not want to be disturbed. For example, if you generally receive all messages but only want to see those of high importance during your office hours from 9 a.m. to 6 p.m., open the At these times rule, which is switched off by default.

Then click on the switch so that it is activated. Then enter the start and end time, limit the repetitions to weekdays if necessary and set Only with priority as the focus level.
